4、類,即敘事會議紀要(Narrative minutes),決議會議紀要(Resolution minutes),行動會議紀要(Action minutes)和全文會議紀要(Verbatim minutes)。此外,不同的企業對會議紀要也有不同的要求。會議紀要一般使用過去時,用被動語態取代第一人稱,避免使用表示好壞的形容詞或副詞。內容要求客觀、完整、清晰、明確。What Is a Minute會議紀要是商務活動中確認會議紀要的準備 以下幾種手段能幫助記錄者在會議開始前做好準備: 1.提前準備一份先前會議的紀要作為參考,熟悉公司慣用的文體格式. 2.如有可能,與會議的組織者進行溝通,預先了解會議議

5、程、會上散發的資料、與會者姓名、待解決的問題等重要信息,做到心中有數。 3.如果會議內容較為復雜、持續時間較長,應提前準備好錄音器材、筆記本電腦和電池,這些工具能使會議記錄作為簡便。 4.在會議開始前,就將會議的開始時間、地點等信息記錄好。 會議紀要的準備 Whats the structure of a Minute會議紀要的結構通常包含下列模塊: 1.會議信息概述:該部分對會議的基本信息:會議題目、會議性質、會議日期、會議時間、會議地點進行概述。 2.與會者信息:該部分主要介紹參會者信息,包括出席者、列席者、遲到者、缺席者等等。 3.會議目標:該部分對會議的主要目標進行描述。 4.對上次會

7、、出席人、缺席人、討論事項、通過決議和記錄人等幾部分。 記錄名稱一般標語于文章開頭部分,可以居中,也可以按時下流行的書寫格式一律居左。接下來的日期,時間和地點部分往往用一兩句話表述清楚。 為確保準確性,以便日后引用過或查找,會議紀要的時間常常準確到年月日,甚至幾時幾分。會議紀要中的地點,如沒有特殊要求,可以不予交代,如有必要,也要寫清楚。出席人和缺席人一般另起一行。出席人一欄中,首先注明的是會議主持人,缺席人如無需交代,也可以省去。如要注明,則可續上缺席原因等。不管是出席人還是缺席人,一般都應該給全名,必要時續上職務名稱。 正文要求用詞精,條理清楚,內容精要,以便于讓參看記錄的人一眼就能明了會

8、議的整個流程和主要內容。 如果涉及下次會議的時間,一定要清楚記錄。最后還可記上會議結束的時間。 署名部分一般位于正文的右下角,寫上記錄人的姓名,有時加上主持人的簽名。也可以參照計算機版格式一律左起頂格,但不管采用哪種方式,簽名都盡可能用全稱,以便日后查找。英文會議記錄的格式較為正式,通常分為會議名稱、時間、地點、出Writing TechniquesWriting Techniques會議紀要語氣要正式; 動詞一般采用被動式;措辭盡量采用常用詞。會議紀要是用清晰和準確的形式記錄討論和決議的方法,應該使用平實的語言。會議記錄者首要的是要認識到會議紀要寫作的 4C 原則。 1.準確(correct

9、ness):正確反映所有的決議和行動。 2.簡明(conciseness):會議紀要切中要點、準確的時候,更容易理解主要信息。 3.清晰(Clarity):理解決議或行動的目的,以便更加清晰的表達會議紀要內容。 4.一致(consistency):會議紀要的格式應保持一致,只有通篇修改的時候,才可以改變。 會議紀要語氣要正式; 動詞一般采用被動式;措辭盡量采另外還要注意以下幾個方面: 1.語言用得越正式,越顯出商務氣息。如: Informal Formal so-so satisfactory 2. 不要用縮略語,用全稱: Informal Formal arent are not Shes

(這種寫法會遭人注意或受到攻擊,即使在會議上通過了,也是集體或多數人的意見,記錄的也只是結果。) 6. 態度措辭常常能反映人際關系。紀要中對上級、對同行、對同事以及對下級所用的語氣和態度是絕然不同的。對上級用尊敬、對同事同行用禮貌、對下級用權威命令式語氣。這種語氣差別主要體現在動詞上: 對上級 對下級 could be is should be is would be will might/may be will seems to be is 另外還要注意以下幾個方面: 5. 被動語態 總之,會談紀要應盡可

12、能準確。如果對于會議內容發生爭議,會談紀要可以提供依據。應該以第三人稱寫作,使用過去時,不要直接引用講話,使用中性詞,使用正確的術語。會議紀要的寫作順序應確保和討論的順序一致,和會議日程的結構一致。會議紀要的各部分按照順序可以標上數字,其數字應與會議日程的數字保持一致。總之,會談紀要應盡可能準確。如果對于會議內容發生爭議,會談紀Sample ReadingSample Reading1.
